Event Overview: ESI Washington 2023 was a highly anticipated B2B esports conference held in Washington, D.C., bringing together key stakeholders from the global esports industry. As part of the event planning team, I played a crucial role in sourcing speakers, curating topics, securing sponsor relations, and managing logistics. Additionally, I was responsible for creating and implementing the ESI Safe Space, a dedicated area designed for attendees to relax and recharge, away from the main conference. Despite the challenge of coordinating the event remotely from the UK, the conference was a resounding success, fostering valuable industry connections and thought leadership.

Key Responsibilities and Achievements:

  1. Speaker Sourcing and Topic Curation: I worked closely with the planning team to identify and invite influential speakers from various segments of the esports ecosystem, including industry executives, team owners, sponsors, and media professionals. This required understanding the key trends and challenges facing the esports industry and selecting speakers who could provide valuable insights. Some key steps included:

    • Researching potential speakers with a strong connection to esports and related industries

    • Reaching out to thought leaders and industry veterans, handling communication and scheduling

    • Collaborating on a compelling content agenda, covering topics such as investment in esports, brand partnerships, collegiate esports, and the evolving role of media in the esports landscape

  2. Sponsorship Acquisition and Management: I was instrumental in securing and managing sponsor relations for ESI Washington. This involved building relationships with brands that aligned with the esports space, offering them unique sponsorship opportunities that increased their visibility and engagement with the event’s audience. Key responsibilities included:

    • Crafting tailored sponsorship packages that met the goals of various companies, from esports teams to tech and media companies

    • Ensuring that sponsor activations were integrated seamlessly into the event, from booth placements to digital presence

    • Maintaining ongoing communication with sponsors, ensuring their needs were met and that their involvement added value to the overall event experience

  3. ESI Safe Space Implementation: As part of my role, I introduced and managed the ESI Safe Space, a relaxing area away from the hustle and bustle of the main conference. This space offered a quiet environment for attendees to unwind, network in a low-pressure setting, and take a break from the fast-paced atmosphere of the main event. Key elements of the ESI Safe Space included:

    • Comfortable seating, soothing décor, and refreshments to create a welcoming environment

    • Ensuring the space was easily accessible but sufficiently separated from the high-energy zones of the conference

    • Gathering feedback from attendees on the Safe Space, with overwhelmingly positive responses that underscored the importance of mental well-being at industry events

  4. Logistics and Remote Event Management: Coordinating the logistics of ESI Washington from the UK posed several unique challenges. Managing the planning of a conference in another country required meticulous attention to detail, collaboration with local vendors, and regular communication with the US-based team. My responsibilities included:

    • Coordinating across time zones to ensure seamless communication with stakeholders, vendors, and the on-site team in Washington, D.C.

    • Managing the logistical aspects of speaker travel, venue arrangements, and technical production remotely

    • Organizing digital planning sessions to align the entire team on key deliverables and timelines, ensuring nothing was overlooked despite the geographic distance

  5. Creating a Valuable B2B Experience: The core objective of ESI Washington was to provide attendees with valuable networking opportunities and insights into the esports industry. I ensured the event struck the right balance between educational content, thought leadership, and business development. Highlights of the conference included:

    • A carefully curated schedule of panels, keynotes, and roundtable discussions featuring prominent speakers from across the esports landscape

    • A series of targeted networking sessions that allowed B2B attendees to forge meaningful connections

    • Showcases of innovative products and technologies that are shaping the future of esports

Results:

  • High-Quality Speaker Engagement: The event featured a lineup of thought leaders and influencers from various facets of the esports ecosystem. The diverse speaker lineup attracted a wide range of attendees from different sectors, including investors, media professionals, and brand representatives.

  • Successful Sponsorship Engagement: Sponsor relations were a key highlight, with major brands securing prime visibility through strategic activations. Sponsors reported a strong ROI, and many expressed interest in future collaborations with ESI events.

  • ESI Safe Space Success: The introduction of the ESI Safe Space was a well-received addition, providing a welcome respite for attendees. It highlighted the importance of mental health and well-being at high-energy business events, with numerous attendees expressing appreciation for this thoughtful touch.

  • Smooth Event Execution: Despite the challenge of managing the event remotely from the UK, the conference ran smoothly. Effective communication, thorough planning, and a strong on-the-ground team in Washington, D.C., ensured all logistics were handled without issue.

  • Positive Feedback and Lasting Industry Impact: Attendees, sponsors, and speakers alike provided overwhelmingly positive feedback, praising the conference for its organization, relevant content, and the quality of networking opportunities. ESI Washington succeeded in further solidifying its reputation as a premier B2B esports event.
